We’re looking for a Residential Property Management Assistant

Job tasks and responsibilities

  • Provide support to the Residential Property Management Department in a range of functions
  • Keep up to date records in our property management software
  • Process tenant maintenance requests and coordinate required maintenance work
  • Leasing & Tenant Applications –
    • Respond to general enquiries from prospective tenants
    • Process tenant applications (e.g. enter details into IRE, send rental reference, process TICA search, etc.)
    • Sign up new tenants
    • Send new tenants acceptance email with all attachments and relevant information
    • Complete entry condition report
    • New tenant set up and orientation meeting – go through all paperwork and information relating to the tenancy
  • Process bonds and ensure that the bonds held at the RTA are up to date and correct
  • Coordinate and complete Routine Inspections and relevant reports –
    • Schedule and conduct routine inspections (e.g. issue Entry Notices within appropriate timeframe, schedule an appropriate time for the tenants etc.)
    • Provide the property manager with the routine reports and report any maintenance found at the property
    • Arrange quotes for repairs and pass to the Property Manager to have approved by the owner
  • Collect rent and invoice arrears as required
  • Ensure payment of tenant invoices
  • Communication with tenants in regards to lease renewals
  • Under instruction from the Residential Property Manager, conduct vacating inspections as required (e.g. book vacating appointment with tenants to collect keys, conduct a vacate inspection, complete exit condition report, and communicate results to tenants within 3 business days etc.)
  • Meet valuers when required
  • Complete NRAS compliance assessments
  • Other administration duties as required

Skills and experience

  • Current Real Estate Certificate of Registration
  • 1+ years of experience in a real estate agency will be highly regarded
  • Strong IT skills, particularly Microsoft Office (REST & FILESMART experience highly regarded)
  • Excellent written and verbal communication skills
  • Great organisational and negotiation skills
  • Be systems oriented with high attention to detail and accuracy
  • Confidence and ability to liaise with people from all walks of life
  • Ability to multitask and prioritise
  • Exceptional and professional customer service skills
  • Knowledge and understanding of RTA forms and documents, agreements and legal requirements, or be ready to learn
